Overview
ReminderOS is an iOS reminder app developed by Paul Waweru (contact details below).
This Privacy Policy explains what data we collect, how we use it, and your choices.
ReminderOS is available Worldwide on the App Store and is rated 4+.
Data We Collect
We collect only the data needed to run core app features.

- Purpose: turn emails you choose into reminders, keep the Gmail watch/sync connection working, avoid duplicate imports, and deliver imported reminders to your app.
- Protection: OAuth tokens and reminder import payloads are encrypted at rest.

We do not collect data for advertising tracking.
We do not collect location, health, or financial card details. -
Reminder content note
Your reminder content is stored in your own iCloud private database (CloudKit). We do not access, read, or collect the content of your reminders on our servers. -
Product analytics
We collect product usage data — such as which features are used, which buttons are tapped, and general app navigation patterns — to understand how the app is used and decide what to improve or build next. This analytics data is not used for advertising or cross-app tracking, is not linked to personal data such as your name or email address, and does not include sensitive information such as reminder content, calendar content, personal text, health data, financial data, or precise location. Analytics are processed by PostHog (see Third-Party Services below).
How We Use Data
We use data to:
- authenticate your account and keep you signed in,
- deliver and manage push notifications,
- connect to Gmail if you enable Email sync and turn selected emails into reminders,
- maintain subscription status and Pro access,
- process support/feedback requests,
- understand how the app is used and improve the experience (via product analytics that is not linked to personal data),
- operate and secure the service.
Sharing
We do not sell your personal data.
We share data only with service providers needed to run the app (listed below), and only for the purposes described in this policy.
Third-Party Services

Apple (Sign in with Apple, CloudKit, APNs, App Store)
Purpose: authentication, private reminder storage in your iCloud account, push notifications, and payments.
Data shared: Apple sign-in account data you provide, push token/device-related notification data, purchase/subscription events handled through App Store, reminder content stored in your iCloud private database.
Linked: Yes. Tracking: No (by ReminderOS for cross-app tracking).

PostHog
Purpose: product analytics to understand feature usage, app behaviour, and where to improve the product.
Data shared: usage events (for example button taps, screen views, and feature interactions) and basic technical context needed to operate analytics. We do not send sensitive data, reminder content, calendar content, personal text, precise location, health data, financial data, or personal details such as your name or email address to PostHog.

Google (Gmail API, Google OAuth, Google Pub/Sub)
Purpose: optional Email sync so you can connect Gmail and turn selected emails into reminders.
Data shared/accessed: Gmail OAuth authorization, Gmail account email address, Gmail message metadata and content for emails matching the import trigger you choose, and Gmail mailbox change notifications used to run sync.
Linked: Yes when you connect Gmail. Tracking: No.

Data Retention
- Account/session/device/push/subscription records are kept while your account is active and are removed when your account is deleted.
- Session tokens expire automatically.
- Feedback submissions are retained after account deletion with account linkage removed.
- Reminder data stored in your iCloud account is controlled by Apple and your iCloud settings.
- Calendar events created by Calendar sync are stored in the calendar account you selected (for example iCloud, Google, or Outlook). If you turn off Calendar sync, existing synced calendar events may remain until removed from your calendar app. During account deletion, the app attempts to remove previously synced calendar events on a best-effort basis.
- Email sync records are kept while Email sync is connected or needed to deliver pending imported reminders. If you disconnect Email sync or delete your account, Gmail connection records, encrypted OAuth tokens, message tracking records, import jobs, and sync queue records are removed or expire according to the service cleanup process.
- In-app reminder history is designed around a 30-day window.
Security
We use technical safeguards including:
- HTTPS/TLS for data in transit,
- Keychain storage on iOS for local session token handling,
- authenticated access controls for protected API endpoints and webhook authorization controls.
Your Choices & Rights
You can:
- delete your account in-app,
- request deletion by email,
- manage/cancel subscriptions in Apple account settings,
- disable notifications in iOS Settings,
- turn Email sync off or disconnect Gmail in ReminderOS settings,
- sign out at any time.

Children's Privacy
ReminderOS is not directed to children under 13.
We do not knowingly collect personal information from children under 13.
International Transfers
If you use ReminderOS outside the country where our or our providers' systems operate, your data may be processed in other countries through Apple and RevenueCat infrastructure.
App Tracking Transparency
ReminderOS does not track you across apps or websites owned by other companies as defined by Apple.
ReminderOS does not use IDFA-based advertising tracking.
Push Notifications
If you enable notifications, we process your APNs token, device-related notification settings, and timezone to deliver reminders at the correct local time.
You can disable notifications at any time in iOS Settings.
Calendar Access
Calendar sync is optional. If you turn it on, ReminderOS requests full calendar access through EventKit so you can choose a writable destination calendar and so the app can manage synced events.
- Access mode: Full access (not write-only).
- What we do with access: create/update/delete calendar events linked to reminders you sync.
- What we do not do: we do not send calendar event content to ReminderOS servers.
- Where data is handled: on your device and in your chosen calendar provider account (for example Apple iCloud, Google Calendar, or Outlook), subject to those providers' terms and privacy policies.
You can control calendar access any time:
- turn Calendar sync off in ReminderOS settings, and/or
- revoke permission in iOS: Settings -> Privacy & Security -> Calendars -> ReminderOS.
Email Access
Email sync is optional. If you turn it on, ReminderOS connects to Gmail through Google OAuth so emails that match the trigger you choose can be turned into reminders.
- Access mode: Gmail read access.
- What you choose: whether Email sync is enabled, the Gmail account to connect, the import trigger (for example starred emails or a Gmail label), reminder timing, reminder window, and imported reminder colour.
- What we do with access: read matching Gmail messages, extract the subject and relevant message text needed to create a reminder, track Gmail message IDs/history IDs to avoid duplicate imports, and use Gmail mailbox change notifications to run sync.
- What we store: Gmail connection metadata, encrypted OAuth tokens, selected trigger settings, message tracking metadata, encrypted reminder import payloads, import job state, and sync status.
- What we do not do: we do not use email content for advertising or cross-app tracking, and we do not import emails unless you enable Email sync and choose the trigger.
- Where data is handled: on ReminderOS servers, in the ReminderOS app, and in your connected Google account, subject to Google's terms and privacy policy.
You can control Email sync any time:
- turn Email sync off or disconnect Gmail in ReminderOS settings, and/or
- manage or revoke ReminderOS access in your Google account permissions.
